Teamwork Gmail integration: setup, limits, alternatives

How Teamwork.com connects to Gmail: the free add-on that turns emails into tasks, Teamwork Desk inboxes, setup steps, and what each leaves out.

By the Tutti team Updated 4 min read

The short answer

Teamwork.com connects to Gmail in two ways. The free Teamwork.com add-on for Gmail turns an email into a task in a Teamwork.com project, or attaches it to an existing task, from Gmail's right sidebar. Teamwork Desk connects a Gmail account as an inbox, so the team reads and replies to that mail inside Desk, with an optional import of the last 30 days. Neither drafts replies, and the add-on does not share the conversation itself. For a team answering email together in Gmail, a shared inbox like Tutti is the closer fit.

Two ways Teamwork connects to Gmail

Teamwork.com offers two different Gmail integrations, and they solve different problems:

There is also a separate Teamwork Desk add-on for Gmail that creates Desk tickets from emails, much like the task add-on does for projects.

Details below come from Teamwork's help center and the Google Workspace Marketplace listing, checked October 12, 2026.

Set up the Teamwork.com add-on for Gmail

  1. Install the Teamwork.com add-on from the Google Workspace Marketplace.
  2. Open Gmail. The Teamwork.com logo appears in the right sidebar.
  3. Click it, sign in to your Teamwork.com account, and authorize access.

With an email open, the add-on can:

  • Create a task: pick a project and task list, add assignees, tags, a description, estimated time, due date, and priority, and include the email in the task. The task name defaults to the email's subject line.
  • Add to an existing task: attach the email itself, or the email's attachments, to a task.
  • Create a task list in any project.

Google lists the add-on's permissions as viewing your email messages while it runs, connecting to an external service, and seeing your primary email address.

Connect a Gmail account to Teamwork Desk

Teamwork Desk's inbox setup works like this:

  1. Click your profile icon, open Settings, then the Inboxes tab.
  2. Click Connect work email and choose Gmail.
  3. Name the inbox. Optionally turn on Import emails to bring in the last 30 days.
  4. Choose whether the inbox shows only client-related email or all email from the account, and exclude any domains you do not want synced.
  5. Sign in to Google and grant access.
  6. Share the inbox with teammates as read only or read and reply, and optionally make someone an inbox admin.

Teamwork.com users can also connect a client's email from the client's Tickets tab, so those conversations show up in the client and project views.

What the integrations leave out

  • The add-on tracks work, not the conversation. A task holds a copy of the email. The reply still happens in one person's Gmail, and the rest of the team does not see it.
  • Desk moves email out of Gmail. The team reads and replies in a help desk built around tickets. That suits support queues; it is a bigger change for press, partnerships, or client communication that people are used to handling in Gmail.
  • Only 30 days of history. Desk's optional import stops there.
  • No drafted replies. Neither integration writes the reply from the thread; someone starts from a blank message or a canned response.

When a shared inbox fits better

If the goal behind "Teamwork Gmail integration" is a team answering email together, not turning it into tasks, a shared inbox is the closer fit. Gmail itself has two options: delegation and Google Groups collaborative inboxes, both fine for one assistant or a quiet group address.

Tutti is a shared inbox built on Gmail. It brings every Gmail account the team uses into one inbox, labels each conversation with AI and mirrors those labels back to Gmail, drafts every reply from the full thread, and requires a person to approve each message before it sends. Teammates who stay in Gmail see the same labels.

Tutti is $250 per month per workspace for up to 5 teammates, with a 14-day free trial. Start with how to set up a shared inbox in Gmail.
